The real problem. An event caterer reassigns temporary staff by hand with no safeguard against double booking, and discovers logistics (equipment, transport, returns) at the last minute for lack of a centralized checklist.
Events and scheduling. The event record (client, date, venue, number of guests, type of service) is at the heart of the file: assigned staff and the logistics checklist are linked to it. A confirmed event automatically appears in Odoo's standard calendar, in addition to its own dedicated schedule.
Menus and allergens. Each menu package groups dishes (Odoo products), with a selling price per guest; the menu's allergens are displayed automatically from each dish's record — no re-entry.
Extra staff, with no double booking. A contact flagged as extra staff is assigned to a position on an event with a scheduled time. The same person cannot be assigned twice to overlapping slots, even on two different events — rejected at the data level, not just on screen. Actual attendance is then clocked (arrival, departure).
Logistics checklist and equipment inventory. Each event carries its checklist (equipment, outbound transport, return transport), with an equipment catalog in limited quantities. It is impossible to commit more equipment than the inventory holds across events with overlapping dates — the same data-level check as for staff.
Delivery. An event can be marked as delivered on site, with the expected time and notes on the equipment to bring and to collect.
Automatic alert. A scheduled action creates an Odoo activity, with no duplicate while it remains open, for an upcoming confirmed event whose assigned staff falls short of the planned headcount.
What the free edition does not do
No priced quotation or invoicing, no projected margin calculation, no dashboard and no PDF reports (quotation, service sheet): see the full edition dyo_traiteurs, which installs on top of this one without asking for or re-entering anything.
And in neither edition: no payroll for extra staff (extra-staff contracts, DPAE pre-hire declarations) — it remains a scheduling tool, not payroll; no full HACCP management (temperature logs, batch traceability) and no regulatory allergen declaration — only the informational display of the allergens declared on each dish is covered.
Demo data: a catalog of equipment and menus, extra staff contacts, several events in the current month at different stages (draft, confirmed, in progress, completed, canceled), with staff assigned and checked in, and a logistics checklist deliberately left incomplete on one of them to illustrate the automatic alert.
